  • Supervise putting the class schedules and the final exam schedules in coordination with each department.
  • Schedule the exam halls for the final exams.
  • Ensure that the exam halls are fully prepared for the final exams and meet all requirements.
  • Coordinate the invigilation process during the final exam (Preparing and distributing the invigilators’ schedules in all the academic departments, ensuring their presence in the exam days, organizing the process of switching between the invigilators and assigning standby invigilators).
  • Submit a daily follow-up report on the progress of the final exams process during the exam period.
  • Supervise and coordinate scheduling the classrooms among the departments.

Administrative and Financial Affairs Unit Duties

  • Apply all administrative and financial rules and regulations applicable to the university and ensure their implementation efficiently and effectively under the supervision of  the administrative and financial director of the college.
  • Achieve the necessary level of coordination between the College and the University with regard to administrative and financial affairs.
  • Coordinate with the University's Traffic and Transportation Department on the provision of traffic and transportation services to all administrative units in the College in accordance with the regulations, rules and procedures in force.

Building 55 Evacuation Plan

First: Objectives of the Plan:

Be fully prepared to face any kind of dangers that may occur, God forbid, and that requires a speedy evacuation of classrooms and offices and  removing the employees  and the students from danger sites to the safety site. The plan necessitates a number of procedures that must be carried out during the evacuation process as well as training the staff on these procedures and determining the roles assigned to each one. A continuous training for the staff will be ensured to be able to face emergencies and preventing human losses.

Second: The developers of the plan:

The plan was developed by the Department of Security and Safety at Imam Abdul Rahman bin Faisal University in coordination with the Civil Protection Department of the Civil Defense Department in Dammam.

Third: Reporting:

In case of discovery of any danger requiring evacuation of students and staff, the College of Applied Medical Sciences shall inform the Department of Security and Safety on its telephones (33555,33565) which operates around the clock and shall be under its responsibility.

Note:

It is the responsibility of the building supervisors to count all the students in the building and make sure that they are all present and pass this information to the security and civil defense personnel at the site

Seventh: Responsibility of Evacuation

  1. Each supervisor shall be fully responsible for the evacuation of the nearby classes and laboratories and she will be the last one to leave the building.
  2. The students are directed and guided to the emergency exits while ensuring to prevent running, crowding and rushing randomly in the corridors during the evacuation.
  3. Supervisors are identified and assigned to ensure the complete evacuation of the building through making a quick tour of the building after the completion of the evacuation process if the situation permits. And they will pass this information to the head of the emergency team.

     5.The leader of the Emergency Team, Adnan Al - Jayan

Or the deputy Team Leader, Abeer Al Ameri shall take a quick tour in the building to ensure that no student is left behind. He/she will be wearing a phosphoric coat to be easily identified by   the emergency team members and   to facilitate the passage of information to them quickly.

    6.Civil defense personnel shall be guided to the scene of the incident by the security guard at the site.

    7.Safety department personnel are responsible for the initial fire control. Emergency notification shall be done to the university number (33555)  or the civil defense number (998).

     8.The electricity is separated by themaintenance technician in the building

Eleven: Instructions:

  1. Guidance boards are placed in the corridors to be easily identified by the students and placed in prominent places.
  2. Ensure the validity and the maintenance of all emergency exits and main entrances from the technical aspects and that they are unobstructed and unlocked all the times well as ensure the validity of the sign boards leading to the exits.
  3. Ensure the students are familiar with the exits and entrances, especially the new ones, as well as the guidance signs to the nearest emergency exit.
  4. Each supervisor must have a list of the names of all the students to make sure they are all present at the assembly point.
  5. Each supervisor of the emergency team shall know his duty in the plan carry out his/her role without delay when needed.
  6. The building must be completely evacuated and no one to be allowed to stay inside.
  7. Implementation shall be strictly followed as planned.
  8. The evacuation shall begin from the ground floor   then the first floor.
  9. Each student should ask about her classmates to make sure they are there and, more importantly, to know the assigned supervisor who is responsible for making sure they are all present.
  10. The supervisor should feel that the evacuation is part of his basic work and that she has a list of the names of the students to make sure they are all present at the assembly point.
  11. All obstacles and wooden partitions in the corridors and emergency exits must be removed so as not to impede movement.
  12. Before implementing any plan, it has to be discussed and coordinated with the Civil Defense personnel to know the necessary instructions and precautions.
  13. After the implementation of the plan, the negatives will be investigated to know the causes and to be avoided in the future.
  14. Running, randomly rushing and carrying books and bags are forbidden during the evacuation process.  The evacuation must be done quickly and orderly.
  15. In the event that an emergency team member in charge of the plan is not present for any reason, his colleague in charge of his basic work (backup person) shall perform the tasks set out in the plan.
  16. The phosphoric coat of the emergency team leader must be located nearby to be easily accessible and worn if the alarm is heard.
  17. An appendix to establish the safety, fire and fire alarm systems shall be completed.
